Quick guide to TravelReport.

1. Travel reports

The home screen lists all travel reports, newest first. Tap “+” to create a new travel report; tap an entry to open it. Trips whose end date is in the past open in view mode.

The bin next to a travel report deletes it after confirmation. In the free version, a deleted travel report still counts as the one permitted travel report.

Favourites (full version): The star at the top of the “General” tab marks a travel report as a favourite or removes the mark (filled = favourite). The star at the top of the home screen switches between all travel reports and favourites only.

2. “General” tab

Short name, period (date from/to), trip type and trip currency. “Create” saves a new travel report; the app then creates a day for every day of the period. If the period is changed later, days are added or removed accordingly. In the full version, the total expenses of the whole trip are shown here. If shortening the period removes days that already contain entries, the app asks first, because those entries are deleted as well.

3. “Days” tab

  • Select the day from the drop-down list, with the arrows ‹ and › next to it or by swiping left or right. During a trip, today's day opens.
  • In edit mode, the groups of the trip type are shown as tabs below the day (e.g. Travel report, Expenses, Restaurant visits). A number on a tab shows how many entries the day has; a dot shows that something has already been filled in. The fields depend on the trip type; fields marked with * are mandatory.
  • In view mode, everything entered for the day is shown one below the other for reading, including that day's accommodations from the “Accommodations” tab; empty sections are left out. Tap an accommodation to open it.
  • Expenses (full version): The overview shows the description and the amount with currency for each item, for a foreign currency also the amount in the trip currency below it, sorted by time, and the day's total. “+ Add item” opens a separate page for amount, currency, expense type, description, vendor and time; tap an item to change it. The bin in the overview or at the top of an item's page deletes it (with “Undo” available for a few seconds).

4. “Accommodations” tab

  • “+ Add accommodation” opens a new accommodation. First select the type: hotel/guesthouse, campsite, ship, flight, private accommodation or wild camping.
  • Depending on the type, suitable fields are available (e.g. address, phone, price, number of guests). The name as well as arrival and departure are mandatory (for flights, take-off and landing).
  • The periods of two accommodations must not overlap. Directly consecutive periods (departure = next arrival) are allowed.
  • Tap the name to open the accommodation; the bin deletes it.

5. “Conversion factors” tab (full version)

The first line is always the trip currency with factor 1. Below it, enter further currencies in which you want to record expenses, with the factor for conversion into the trip currency (example: trip currency EUR, 1 CHF = 1.05 EUR → factor 1.05). Only currencies entered here are available for selection for expenses.

6. Viewing, editing and saving

  • In view mode, all fields are locked. To edit, tap the pencil at the top right of the “General” tab; the tick switches back to view mode.
  • Changes are saved automatically as soon as you leave a page or a day, and are confirmed with “Saved”.
  • If entries are incomplete or invalid, the app asks whether you want to continue editing or discard the changes.

7. Creating a PDF (full version)

In the “General” tab via the “⋮” (iPhone/iPad: “⋯”) menu: “Create PDF” generates a PDF with the accommodation, restaurants and all days and opens it in a PDF app on your device; from there you can share it, e.g. by email, or save it to cloud storage. Each day includes its expenses with the day's total; at the end comes the trip's expense analysis: totals by expense type and totals by day, each with the total expenses.

  • Settings: Default currency (preset for the trip currency of new travel reports) and app language (German, English, French, Portuguese, Japanese, Spanish, Catalan, Turkish, Polish, Dutch, Indonesian, Vietnamese, Swedish, Norwegian, Danish, Finnish, Czech, Hungarian, Greek, Luxembourgish, Chinese (Simplified, Traditional), Korean; on first launch, the language of the device). Numbers, amounts and dates follow the region of the device. Under “Legal” you will find the legal notice, privacy policy, terms of use and open-source licences.
  • Restore: Restore a travel report from a backup file (full version, see section 10).
  • Get full version: Buy the full version or restore purchases (see Benefits).
  • My purchases: Licence status and “Restore purchases”.
  • About TravelReport: Version, build date and licence; with the full version also the store's purchase ID.

9. Restaurants and private notes

  • In the “Restaurants” tab you record the restaurants of the trip with name, type (simple, mid-range, upscale), address and contact details. “+ Add restaurant” creates a new one; tap the name to open it. A restaurant with visits can only be deleted once its visits have been deleted.
  • Restaurant visits (full version): in the “Days” tab, for each day. “+ Restaurant visit” opens a separate page for the restaurant (selected from the “Restaurants” tab), time, a rating of 0 to 5 stars and a description of the food; tap a visit to open it, and delete it as with expenses. In the PDF, the visits appear under the respective day.
  • Private notes (full version): The key icon at the top of the “General” tab shows or hides the “Private notes” tab for each day under “Days”; back on the home screen, they are hidden again. Private notes never appear in the PDF.

10. Backup and restore (full version)

  • Backup: In the “General” tab, “⋮” (iPhone/iPad: “⋯”) → “Backup” saves the travel report as an XML file. The share menu then opens: store the file in a safe place, e.g. in Google Drive, in iCloud Drive or by email. The app does not keep its own copy; you manage or delete older backups wherever you stored them.
  • Restore: On the start page, select a backup file via “⋮” (iPhone/iPad: “⋯”) → “Restore”. The travel report is created as a new report; existing travel reports are not overwritten. If the name already exists, the new report gets the suffix “(Import …)”.
  • A backup contains all details of the travel report, including the private notes – unencrypted. Keep the file in a safe place.
